
Hotel Management System
Flex HMS system is a software solution that is designed to automate and streamline the operations of hotels and other hospitality businesses. The system is typically composed of several modules, including reservations, front desk, housekeeping, accounting, and management reporting.
The reservations module is responsible for managing room availability, pricing, and bookings. This module can also handle online bookings and room assignments based on guest preferences and room availability.
The front desk module is responsible for managing guest check-in and check-out, guest billing, and guest complaints. This module can also handle guest preferences and room changes.

2 .Reservation
The system will providethe reservation processfor the guests with information
to be capturedas followed
i).Guest Name
ii). Guest Identifications
iii).Number of guests , Adults and Children
iv). Price list selection
v). Booking Channel Selection
vi) If booking through agent (agent name )
vii)Notes for intenalreference viii).Pick up details
ix). Advance payments x). Room booking detail
Check In date Check out date
Integration with different price lists (for example if different rate for different customer types)
Discount if applicable
3.FOLIO MANAGEMENT
The systemwill track all financial transactions for the service
availed by the guest which includes:
- Food and Beverages
- Laundry Services
- Transport
- Other Services
The Invoice will be created at the time of check out after confirmation.
At the time of check out the front desk office will be abele adjust all advances paid by the guest before registering the final payments.


4.Restaurant Management
The system will mange the food and beverages availed by the guest either residing in room or availing facilities as walking customer.
The processwill be as followed.
- Order booking
- Confirm booking
- Generate KOT/BOT (Kitchen Order Ticket/Bar Order Ticket)
Invoice generation for the walking customer Transfer to folio for the guest residing in room
5.Laundary Management
The system will mange the laundry services both internal and out sourced services for laundry related activities. Further the system will auto transfer the financial transaction with details to the folio of the guest which will be charged in final invoice.
The system will maintain the track record of each laundry service from any room for different stages like:
- Service confirmed
- Sent to laundry
- Return from laundry
- Return to the guest
